Logistics Manager

The incumbent is expected to manage all processes associated with orders placed by the Company to ensure the efficiency of customs clearing and timely arrival of shipments within Company policies and procedures.

Some Main Responsibilities include:
  1. Manage all Logistics activities including but not limited to monitoring the progress of the shipment from receipt of invoice from the supplier to receipt at shippers and/or freight forwarders for OTIF (On Time, In Full) clearance.
  2. Ensure all logistics processes are in compliance with Company and Industry policies, practices and procedures to ensure successful achievement of all Key Performance Indicators (KPIs)
  3. Continuously review and negotiate the most competitive rates with shipping lines and freight forwarders and to improve supply chain efficiency or sustainability
  4. Manage and Document the processes for the clearing and receiving of shipments  for business continuity
  5. Ensure all Customs documentation for the shipments are accurate and prepared in a timely manner
  6. Resolve problems concerning transportation, logistics systems, imports or exports, or customer issues.
  7. Analyze the financial impact of proposed logistics changes, such as routing, shipping modes, product volumes or mixes, or carriers and take mitigating action.
  8. Research and make representations to Ministries, Agencies, Customs, International Suppliers etc. as required on matters affecting business continuity and cost management
  9. Research and document loss of stock reports to ensure Insurance and Supplier claims are resolved within 1 year target
  10. Implement WHO Good Distribution Practice (GDP) requirements internally and with contractors for Audit compliance
  11. Research and prepare Bonds as required
  12. Manage the work of logistics team to ensure the achievement of work targets where shipments are received and cleared as scheduled and reports are prepared and completed accurately and on time, in compliance with established procedures.
  13. Lead monthly Logistics Meeting with team ensuring internal training is completed as necessary.
  14. Manage performance of the Logistics Team highlighting training opportunities, succession planning and successful areas for each member.
  15. Prepare and submit reports monthly to the Operations Director with regard to Logistics KPI achievement, Rent and Demurrage Reports, Monthly Shipment Report and Brokerage reports to name a few.
  16. Ensure that the Department’s petty cash pan and Customs Duty Account is reconciled to the Accounts department on a weekly basis.
  17. Ensure all documents required by the Purchasing team are submitted on a timely manner for costings.
  18. Ensure all Logistics documentation is appropriately stored and archived
  19. Liaise with the Warehouse Manager regarding late deliveries, stock issues, out of range goods, claims and changes to process
  20. Liaise with Accounts department to ensure timely payments
  21. Train supported teams on new processes to align with Business Development and GDP requirements
  22. Investigate and report on incidents and/or accidents to Supervisor/Manager and the HSSE, Facilities & Maintenance Manager.
  23. Review accident reports and ensure corrective actions are done.
  24. Ensure the application of and adherence to established HSE measures and procedures to ensure the well-being of all employees and the Company’s customers.
  25. Ensure the Company’s quality & customer service standards and procedures are being adhered to & reinforce compliance with direct reports. 
  26. Collaborate with other departments to improve efficiencies and integrate logistics with business systems or processes, such as customer sales, order management or accounting.
  27. Perform other duties that may be required to enhance the operations of the Company
Knowledge and experience:
  • Bachelor’s Degree in a related field in Supply Chain, Logistics or Purchasing.
  • A minimum of five (5) years’ experience in similar role
  • Experience handling pharmaceutical shipments will be considered an asset
  • Experience working in a Customs environment
  • Experience in handling air and sea freight documentation
  • Or relevant combination of training and experience
