Import / Export Co-ordinator

The incumbent is expected to ensure that the Company's high standards of Customer Service are maintained at all times, as they relate to drop shipments, imports and exports

Some Main Responsibilities include:
  • Prepare quotations and pro forma invoices to customers for Export and Drop Shipments
  • Liaise with Division on pricing issues, stock availability and shipping costs
  • Provide customs broker with all relevant information needed to prepare shipping documents based on customers order.
  • Liaise with customs broker and shipping agents to ensure import/export/drop shipments are executed in a timely manner
  • Investigate and record import/export requirements in Customer territory and compile documentation for their timely clearance of export consignments including Certificate of Origin and Insurance.
  • Advise customers of service and packing methods available.
  • Maintain regular contact with all customers to monitor stock, provide updates and feedback and obtain orders
  • Maintain records of customer accounts, orders and documents pertaining to shipments
  • Resolve customers complaints and or queries and refer to Divisional Manager where further assistance is required
  • Collate information to ensure that company services provided meet the needs of the customer.
  • Process import clearance documents for submission to broker as required by Department
  • Have working knowledge of local Customs processes for import and export activities to problem solve as required
  • Attend meetings as required.
  • Know and apply our quality policy and all applicable processes and requirements of the quality system.
  • Perform other duties that may be required to enhance the operations of the Company.
Knowledge and experience:
  • Associates degree in Business Management or related field
  • A minimum of three (3) years’ experience in imports/exports as well as experience in a shipping/customs environment Or relevant combination of training and experience

  • Good analytical skills
  • Must be able to exercise sound judgment and initiative
  • Must be able to multi-task and work under minimum supervision in a demanding environment
